Job Summary:



The Sales Proposal Assistant will support the Sales and Business Development team in preparing technical and commercial proposals, tender documentation, and client presentations. The role requires coordination with technical, finance, and operations teams to ensure accurate and competitive submissions within deadlines.

Key Responsibilities:



Proposal Preparation & Support

Assist in preparing technical and commercial proposals, quotations, and bid documents. Format and compile proposals as per client RFP/RFQ/tender requirements. Ensure all supporting documents, certifications, and annexures are complete and up to date.

Coordination & Data Management

Coordinate with internal departments (technical, procurement, HR, finance) to collect inputs for proposals. Maintain proposal trackers, submission schedules, and client communication records. Update and organize proposal templates and project data repository.

Technical Documentation

Prepare and review technical write-ups, scope of work, and compliance statements. Support in preparing BOQs, cost sheets, and manpower/equipment details as required. Ensure all technical documents are aligned with company standards and client specifications.

Client Interaction

Assist in responding to client queries and clarifications during tender evaluation. Support the sales team in preparing pre-bid queries and attending pre-bid meetings (if required).

Presentation & Reporting

Prepare PowerPoint presentations, capability statements, and marketing materials. Maintain regular MIS reports related to tenders, proposals, and submissions.

Required Skills & Qualifications:



Education:


Diploma / B.Tech / B.E. in Mechanical, Electrical, Civil, or related technical field (preferred).
Bachelor's degree in Business Administration or relevant discipline may be considered with technical exposure.

Experience:


1-3 years of experience in proposal/tender preparation, preferably in facility management, EPC, or service industry.

Technical Skills:

Strong knowledge of MS Office (Excel, Word, PowerPoint) Familiarity with tender portals (e-procurement, GeM, etc.) Basic understanding of BOQ, costing, and technical documentation

Soft Skills:

Excellent communication and coordination skills Strong attention to detail and ability to meet tight deadlines Team player with multitasking capability

Key Performance Indicators (KPIs)



On-time submission of proposals. Accuracy and completeness of proposal documentation. Compliance with client requirements. Internal coordination efficiency. Quality of proposal presentation.
