SecureDomain Information Technology LLC is seeking a highly organized, professional, and proactive
Sales & Project Coordination Executive
to work remotely and support our Sales, Procurement, and Project Delivery functions.
This role requires
excellent English communication skills
, strong coordination abilities, and a high level of responsibility, as you will be dealing with customers, suppliers, and internal teams on a daily basis.
Key Responsibilities1. Quotation Preparation & Sales Support
Prepare accurate, professional quotations based on customer requirements.
Coordinate with vendors and suppliers to obtain pricing, product details, and availability.
Compare vendor proposals to ensure competitive pricing for all enquiries.
Send quotations to customers and ensure timely follow-up.
Maintain an organized record of all quotations, pricing sheets, and sales-related documents.
Update the sales pipeline and report status of quotations to management regularly.
2. Vendor & Supplier Coordination
Request pricing, technical details, and delivery timelines from local and international suppliers.
Maintain healthy vendor relationships to ensure priority pricing and support.
Track and document all supplier interactions and update management on price or product changes.
3. Project Coordination & Support
Assist the Project Manager with documentation for project execution.
Prepare and submit
access passes
, gate passes, and visitor permits required for entry to customer sites, datacenters, or government facilities.
Coordinate with project teams, engineers, and installation staff to collect daily or weekly project updates.
Track task progress, pending items, and notify management of any critical issues or delays.
Maintain project documentation, checklists, material flow, and delivery schedules.
4. Communication & Reporting
Act as a key communication bridge between:
? Sales team? Project team? Installation/Technical team? Suppliers & vendors? Management
Provide daily updates on quotations, pending tasks, and project status.
Prepare weekly summary reports for management.
5. Administrative & Operational Support
Prepare access passes and required documentation for project site visits.
Maintain digital records and ensure proper organization of all documents.
Support management with any operational, documentation, or coordination tasks assigned.
Perform follow-ups with clients, internal staff, and external partners when required.
Handle any additional duties as instructed by the management.
Qualifications & Skills Required
Excellent English communication skills
-- spoken, written, and email etiquette.
Strong coordination and follow-up skills.
Bachelor's degree or equivalent qualification.
1-3 years of experience in Sales Coordination, Project Coordination, or Administrative roles (IT industry is an advantage).
Ability to work
independently in a remote environment
, with discipline and time management.
Proficiency in MS Office tools (Word, Excel, Outlook).
Basic understanding of IT products (networking, servers, AV, software) is preferred but not mandatory.
Strong attention to detail and high accuracy in documentation.
Ability to multitask and handle time-sensitive tasks effectively.
