Position Overview
We are seeking a proactive
Sales & Dispatch Coordinator
to manage day-to-day sales order processing, dispatch planning, and administrative support. The ideal candidate will ensure smooth communication between internal departments and customers while maintaining accurate records of sales, logistics, and documentation.
Key Responsibilities
1. Sales & Order Management
Receive, verify, and process customer purchase orders.
Coordinate with production and stores for material readiness.
Prepare invoices, delivery challans, and other related documents.
Maintain sales order tracker and ensure timely order fulfillment.
2. Dispatch Coordination
Plan and schedule vehicle/material dispatches as per orders.
Coordinate with transporters and logistics partners for timely deliveries.
Track shipment movement and update customers on delivery status.
Ensure proper documentation (invoice, e-way bill, packing list) before dispatch.
3. Administrative Support
Manage general office administration and coordination tasks.
Maintain dispatch records, stock registers, and filing systems.
Support the accounts team with billing and payment follow-ups.
Assist the Plant Manager and Dispatch Head in daily coordination activities.
4. Reporting & Communication
Prepare daily/weekly/monthly reports on sales and dispatch performance.
Communicate effectively with internal teams and external clients.
Support process improvements in coordination, documentation, and workflow.
Qualifications & Experience
Graduate with 1-3 years of experience in sales coordination, dispatch, and admin roles (preferably in manufacturing / automotive / logistics).
Proficiency in MS Office (Excel, Word) and ERP systems.
Strong communication and coordination skills.
Ability to multitask and meet deadlines in a fast-paced environment.
