The Sales Coordinator will be responsible for supporting the sales team and ensuring smooth execution of all sales-related activities. The role involves managing customer orders, preparing quotations, handling purchase orders (PO), coordinating dispatches, and maintaining accurate sales records. Strong proficiency in
Excel
, documentation, and coordination with internal departments is essential.
2. Key Responsibilities A. Sales Operations & Coordination
Receive customer inquiries and assist with order processing.
Prepare quotations, proforma invoices, and sales documents.
Coordinate with production, stores, logistics, and accounts for timely dispatch and order fulfillment.
Track daily sales orders and delivery schedules.
Maintain customer database and update sales trackers.
B. Purchase Order (PO) Handling
Review purchase orders received from customers.
Verify PO details such as material name, quantity, rate, delivery date, billing address, and GST details.
Ensure PO terms match the quotation or agreed price.
Enter PO information into ERP/Excel and communicate discrepancies to the sales head.
Follow-up with clients for revised or corrected PO when required.
C. Documentation & Reporting
Prepare daily/weekly/monthly sales reports in Excel.
Maintain MIS data related to sales, dispatch, and collections.
Ensure all documents required for dispatch (invoice, e-way bill, test certificate, packing list) are prepared correctly.
Maintain filing of soft and hard copies of POs, invoices, and agreements.
D. Customer Communication & Support
Follow up with customers for order status, payments, and dispatch details.
Resolve customer queries related to product availability, delivery, and pricing.
Maintain strong professional relationships with clients.
E. Internal Coordination
Coordinate with
Accounts
for invoice generation & payment follow-up.
Liaise with
Production/Factory
for material readiness.
Work closely with
Logistics
for timely dispatches.
3. Required Skills & Competencies
Strong knowledge of
PO processing
and sales documentation.
Advanced Excel skills
(VLOOKUP/XLOOKUP, Pivot Table, Data Validation, Basic formulas).
Good communication skills (email and verbal).
Knowledge of chemical products/chemical industry will be preferred.
Ability to multitask and manage deadlines.
Strong attention to detail.
4. Qualifications & Experience
Graduate in any discipline (B.Com/BBA preferred).
2-5 years of experience
as a Sales Coordinator in a
manufacturing or chemical industry
.
Experience working with ERP/Tally/SAP will be an added advantage.
