The Back Office Sales Executive will support the sales team by managing customer inquiries, preparing quotations, handling order processing, coordinating with production and dispatch teams, and maintaining accurate sales records. The role requires strong organizational and communication skills and a basic understanding of industrial/electrical products.
Key Responsibilities:
Quotation & Documentation:
Prepare and send quotations to customers based on requirements.
Maintain and update records of inquiries, quotations, and order follow-ups.
Draft sales-related documents, including purchase orders, delivery challans, and invoices.
Order Processing:
Coordinate with the production and logistics departments for timely delivery of materials.
Monitor the status of ongoing orders and communicate updates to customers.
Customer Interaction:
Handle incoming inquiries (calls, emails) from existing and potential customers.
Provide product information, pricing, and delivery timelines.
Follow up with clients for order confirmation, payments, and feedback.
Sales Coordination:
Support field sales staff with data, documentation, and lead tracking.
Update CRM systems and Excel sheets with client and sales information.
Maintain proper records of dispatched materials and pending orders.
Reporting:
Prepare daily, weekly, and monthly sales reports.
