Job Overview



We are seeking a dynamic and detail-oriented Sales Coordinator to support our sales team and streamline operations within our corporate gifting manufacturing environment. This pivotal role involves coordinating the entire sales order lifecycle, from initial inquiry and quotation to manufacturing coordination and final delivery, ensuring client satisfaction and contributing to the company's sales objectives. The ideal candidate will be an excellent communicator, highly organized, and able to thrive in a fast-paced setting.

Key Responsibilities



Order Processing & Management:

Receive, process, and manage sales orders accurately and in a timely manner. Ensure all details, including pricing, discounts, and customization requirements, are correct.

Client Communication & Support:

Serve as a primary point of contact for client inquiries (via phone, email, and in-person visits), provide after-sales support, and keep clients informed of order status or any unforeseen delays.

Coordination with Internal Teams:

Liaise effectively with the design, procurement, and manufacturing/production teams to ensure seamless execution of orders and timely delivery of high-quality, customized products.

Quotation & Proposal Management:

Prepare and send quotations, proposals, and presentations to clients based on their specific gifting needs. Follow up on pending quotes to ensure timely responses.

Documentation & Reporting:

Maintain accurate and up-to-date customer records and sales documentation in the CRM system. Prepare regular sales reports, forecasts, and performance metrics for management review.

Sample Coordination:

Arrange for product samples for clients, manage their dispatch and tracking, and follow up for client feedback.

Market Awareness:

Stay updated on the latest corporate gifting trends, competitor activities, and new product innovations to provide valuable insights to the sales team.

Administrative Support:

Provide general administrative support to the field sales team, including managing schedules, organizing meetings, and preparing promotional materials.

Required Skills & Qualifications



Experience:

2-3 years of proven experience in sales coordination, sales support, or a similar administrative role, preferably within the corporate gifting, manufacturing, or a related B2B industry.

Education:

A Bachelor's degree in Business Administration, Marketing, or a related field.

Communication:

Excellent verbal and written communication skills, with a professional and persuasive demeanor.

Technical Proficiency:

Strong computer skills, including advanced proficiency in MS Office (especially Excel and PowerPoint), and experience using CRM software (e.g., Salesforce, Zoho).

Organizational Skills:

Exceptional organizational and time-management abilities, with a keen eye for detail and the capacity to multitask and prioritize effectively in a deadline-driven environment.

Problem-Solving:

A proactive approach to problem-solving and a strong customer-focused mindset to address client issues promptly.

Collaboration:

A strong team player with the ability to collaborate cross-functionally with various departments like logistics, finance, and production.
