The Sales Coordinator is responsible for supporting the sales team with various administrative tasks, maintaining both sales and purchase details, ensuring smooth order processing, and facilitating communication between the sales and purchasing teams. This role requires strong organizational skills, attention to detail, and a good understanding of sales and procurement processes.
Key Responsibilities
:
Sales and Purchase Order Management
:
Process sales orders and purchase orders from customers and suppliers, ensuring accurate and timely entry into the system.
Coordinate with internal teams (logistics, finance, etc.) to ensure timely order fulfillment and delivery.
Maintain accurate records of both sales and purchase transactions, updating inventory levels and ensuring proper documentation.
Sales Support
:
Assist the sales team with preparing sales quotations, proposals, and presentations.
Communicate with customers regarding order status, product availability, pricing, and any issues or delays.
Follow up with clients on quotes and pending orders to secure sales.
Purchase Coordination
:
Coordinate with suppliers to place and manage purchase orders, ensuring timely delivery of required products.
Monitor purchase orders and track deliveries to ensure alignment with inventory needs and customer orders.
Resolve any discrepancies between sales orders and purchase orders, ensuring smooth transactions.
Data Entry and Record Keeping
:
Maintain accurate and up-to-date sales and purchase records in the system (CRM, ERP, or relevant software).
Prepare regular reports on sales performance, purchase status, and inventory levels for management review.
Ensure that all sales and purchase documentation is properly filed and easily accessible.
Customer and Supplier Relationship Management
:
Build and maintain positive relationships with customers, ensuring excellent customer service and satisfaction.
Serve as the primary point of contact between the sales team and suppliers, managing communications related to order issues, stock levels, and delivery schedules.
Inventory Monitoring and Stock Management
:
Collaborate with inventory and purchasing teams to monitor stock levels and ensure that sales orders can be fulfilled on time.
Assist in forecasting inventory requirements based on sales trends and upcoming orders.
Administrative Support
:
Provide administrative support to the sales and purchasing teams, including scheduling meetings, managing documentation, and organizing sales-related activities.
Prepare reports and presentations for internal meetings and assist in preparing monthly, quarterly, and annual sales forecasts.
Communication and Coordination
:
Act as a liaison between sales, purchasing, and other departments to ensure smooth operations.
Communicate any changes in order status, delivery timelines, or inventory shortages to relevant stakeholders.
Requirements

Education
: Any Degree
Experience
: 2+ years in a sales coordination, purchasing. Experience with both sales and procurement processes are a plus.
Skills
:
Strong organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Ability to work with both sales and procurement teams and manage priorities.
Detail-oriented with the ability to identify and resolve discrepancies between sales and purchase records.
