To support the Vice President in end-to-end order execution, ensuring smooth coordination between sales, design, fabrication, and dispatch teams, while maintaining proactive customer communication, tracking project progress, and supporting business development through project identification and payment follow-ups.
Key Responsibilities
1. Order Execution & Coordination
Assist the Vice President in execution of confirmed sales orders from order receipt to final dispatch.
Coordinate with design, planning, fabrication, quality, and dispatch teams to ensure timely execution of formwork orders.
Track fabrication progress and collect regular feedback from internal teams on production status, constraints, and delivery timelines.
Ensure internal action points are closed as per agreed schedules.
Visiting factory frequently.
2.
Internal Communication & Reporting
Act as a single point of coordination between sales, production, and project teams.
Arranging weekly meeting for update, Order Kick-off meetings.
Prepare and share periodic internal reports on order status, fabrication progress, and dispatch planning.
Escalate risks, delays, or deviations to the VP in advance with possible mitigation options.

Customer Communication & Project Updates
Order acknowledge form as soon as order is received along with the advance.
Provide timely and accurate project progress updates to customers as per agreed communication frequency.
Share fabrication status/photo, inspection schedules, dispatch plans, and delivery timelines professionally.
Maintain strong customer relationships through clear, polite, and consistent communication.

Payment Follow-Up & Commercial Coordination
Track payment milestones as per Purchase Order (PO) terms and conditions.
Follow up with customers for advance, LC details, progressive, and balance payments in coordination with accounts and VP.
Maintain payment trackers and highlight overdue payments proactively.
5.
Purchase Order Review & Compliance
Study and understand PO terms & conditions, including scope, delivery, payment terms, LD clauses, LC clause and special requirements.
Highlight deviations between offer and PO to the VP for clarification or amendment.
Ensure internal teams are aligned with PO requirements before execution.
6.
Market Intelligence & Project Identification
Search and track new infrastructure, metro, bridge, and construction projects through online portals, government websites, tenders, and industry platforms.
Prepare basic project information briefs for the VP, including client details, project scope, and opportunity status.
Support lead generation and early-stage project mapping activities.
7.
Documentation & Data Management
Maintain organized records of orders, lead generation, project pipeline, drawings, correspondence, progress reports, and payment data.
Support preparation of MOMs, internal follow-up sheets, and customer communication drafts.
Ensure all data shared with customers is accurate and approved.
Required Skills & Competencies
Strong communication and coordination skills (verbal & written).
Good understanding of sales order execution processes in manufacturing formwork
Ability to understand and interpret Purchase Orders and contractual terms.
Proficiency in MS Excel, Word, and email communication.
Proactive follow-up attitude with attention to detail.
Ability to work closely with senior management and cross-functional teams.
Preferred Background
Experience in formwork, construction equipment, infrastructure, or manufacturing industry preferred.
Exposure to project-based sales execution is an added advantage.
