Understand customer requirements related to:
Product type & specifications
Application details
Quantity & delivery timeline
Provide
prompt, professional, and accurate responses
to customers.
Support Sales Managers and field sales executives with:
Quotation follow-ups
Order status updates
Customer coordination
Maintain proper records of all communications for future reference and audits.
B. Quotation Preparation & Commercial Coordination
Prepare
accurate techno-commercial quotations
in line with company pricing policy and approval matrix.
Coordinate with
Application Engineering
for:
Pump selection
Technical datasheets
GA drawings (if applicable)
Ensure quotations clearly mention:
Product details & specifications
Pricing & discounts
Taxes, freight, and delivery terms
Payment terms and validity
Track quotation status and actively follow up to convert inquiries into orders.
C. Order Review, Booking & Documentation
Receive and thoroughly review Purchase Orders (POs) for:
Pricing accuracy
Quantity and scope
Delivery schedules
Commercial terms and conditions
Highlight deviations or special conditions to Sales Manager for approval before booking.
Prepare and issue:
Order Acknowledgement
Proforma Invoice (where applicable)
Enter confirmed orders accurately into ERP/CRM system.
D. Order Execution & Dispatch Coordination
Coordinate with
Production & Planning
to ensure timely manufacturing.
Follow up with
Stores
for material availability.
Coordinate with
Quality & Testing
for inspection and test schedules.
Plan dispatch in coordination with
Logistics and Transporters
.
Ensure all dispatch documents are accurate and complete:
Tax Invoice
Packing List
E-way Bill
Transporter details
Share dispatch intimation and documents with customers promptly.
E. Payment Follow-up & Accounts Coordination
Coordinate with the
Accounts team
for invoicing and payment status.
Follow up with customers for:
Invoice acknowledgement
Payment commitments
Outstanding dues
Escalate payment delays or issues to Sales Manager / Management as required.
F. MIS, Reporting & Data Management
Maintain accurate and updated records of:
Inquiries
Quotations
Orders
Dispatches
Payments
Prepare and submit:
Daily inquiry & quotation tracker
Weekly order execution status
Monthly sales MIS for management review
Ensure data accuracy for audits, reviews, and forecasting.
G. Internal Coordination & Process Compliance
Act as a
single point of coordination
between sales, production, quality, logistics, and accounts.
Ensure adherence to:
Internal SOPs
Documentation standards
Approval workflows
Support internal and external audits by providing sales records and reports.
3. SKILLS & COMPETENCIES REQUIRED
Technical / Functional Skills
Understanding of sales coordination processes in
manufacturing / engineering industry
.
Basic knowledge of
pumps or industrial equipment
preferred.
Proficiency in:
MS Excel (MIS, trackers)
MS Word
Professional email communication
Experience with ERP / CRM systems is an advantage.

Strong communication and customer-handling skills.

Excellent follow-up and coordination ability.

4. QUALIFICATION & EXPERIENCE
Graduate / BBA / B.Com / B.Tech preferred.
1-4 years
experience in sales coordination, inside sales, or sales support role.
Experience in
pump manufacturing / engineering products
industry is an added advantage.
Freshers with strong communication, coordination skills, and learning attitude may be considered.
