Position Title: Sales Coordinator - USA Support Department: Sales & Business Development Reporting To: Head - Sales / Sales Manager (USA Market) Location: Surat,India Shift: USA Time Zone Support Employment Type: Full-Time Purpose of the Role The Sales Coordinator - USA Support Team plays a critical role in supporting the US-based sales team by managing sales coordination, order processing, customer communication, documentation, and follow-ups to ensure smooth execution of B2B sales operations and high customer satisfaction. Key Responsibilities 1. Sales Coordination & Support Act as a single point of coordination between USA sales team, production, PPC, logistics, and finance teams. Support US sales executives with day-to-day coordination, data preparation, and client follow-ups. Maintain and track sales leads, inquiries, quotations, and order status. 2. Order Management Prepare and process sales orders as per confirmed customer requirements. Coordinate with PPC / Production for order feasibility, delivery timelines, and prioritization. Track order execution from confirmation to dispatch and ensure timely updates to the US team. 3. Client Communication (USA Market) Handle professional email communication with US clients regarding: Order confirmations Delivery schedules Documentation requests Payment follow-ups (as guided by sales head) Ensure prompt responses aligned with USA business hours. 4. Documentation & Reporting Prepare and maintain sales-related documents such as: Quotations Proforma invoices Order sheets Dispatch summaries Weekly and monthly sales reports Maintain accurate CRM / Excel / ERP records for US sales data. 5. Coordination with Internal Teams Liaise with: Production & PPC for order planning Quality for inspection status Logistics for dispatch and shipment tracking Accounts for invoicing and payment status Ensure error-free handover of information across departments. 6. Data Management & MIS Prepare daily / weekly MIS reports for: Open orders Pending dispatches Customer-wise sales status Assist in sales forecasting and pipeline tracking for the US market.
