The Sales & Support Coordinator plays a key role in supporting both domestic and international sales operations by managing customer communication, coordinating with internal teams, maintaining accurate documentation and ensuring seamless execution of sales activities. This position bridges the gap between customers, the sales team and other departments to ensure smooth operations and high levels of customer satisfaction.
Key Responsibilities
1. Sales and Business Development Support
Assist in identifying and developing new business opportunities in domestic and international markets for pharmaceutical raw materials.
Support the sales team in achieving sales targets and revenue goals through proactive coordination and follow-ups.
Prepare Proforma Invoices and coordinate with logistics for timely dispatch of orders.
Ensure the availability and accuracy of sales presentation materials, brochures and proposals.
2. Customer Relationship Management
Act as the primary point of contact for customer queries, ensuring prompt and effective resolution.
Build and maintain strong relationships with existing and potential customers.
Coordinate between customers, the sales team and internal departments (production, logistics, accounts) to ensure smooth order fulfillment.
Support in customer feedback collection and ensure continuous improvement in service levels.
3. Market Research and Analysis
Conduct research to identify market trends, competitor activities and new business opportunities.
Analyze customer preferences and provide insights to position products effectively in the market.
4. MIS and Documentation
Maintain and update various MIS formats and registers, including but not limited to Sample Register, VQ Documentation Register, Inquiry, Sales & Visit Registers, Debtors Register, Agreement Register, etc
Ensure data accuracy and completeness in all records and reports.
Prepare regular reports and presentations on sales performance, customer trends and market insights.
5. CRM Implementation and Management
Ensure effective use and regular updating of the CRM system across all sales divisions.
Follow up with the sales team to log leads, interactions and updates accurately.
Analyze CRM data to provide insights into sales performance and customer trends.
Train team members on CRM and MIS processes as required.
6. Coordination and Communication
Facilitate coordination among sales, production, logistics and accounts teams for timely order processing and delivery.
Support sales team members in lead follow-ups, scheduling meetings and communication.
Coordinate with HR, marketing and sales teams for internal training sessions, events and promotional activities.
7. Data Analysis and Reporting
Generate periodic reports on sales performance, KPIs and customer behavior for management review.
Monitor divisional performance and suggest data-driven improvements.
8. Quality Control and Compliance
Conduct regular audits of MIS and CRM data to ensure accuracy and compliance with company policies.
Adhere to all organizational standards for documentation, data privacy and communication protocols.
9. Process Improvement
Identify gaps in current sales support processes and suggest improvements for operational efficiency.
Support management initiatives and continuous improvement activities.
10. Other Responsibilities
Perform any additional duties assigned by seniors or company management from time to time.
