The Sales Coordinator will support the sales team by managing day-to-day sales operations, coordinating client orders, tracking sales performance, and ensuring efficient communication between distributors, field sales executives, and internal departments. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment typical of the tobacco FMCG sector.
Key Responsibilities
1. Sales Operations & Coordination
Coordinate and support daily sales activities of the field sales team and distributors.
Manage order processing, billing, dispatch follow-ups, and delivery schedules with logistics and warehouse teams.
Ensure timely distribution of tobacco products across assigned territories.
Maintain stock allocation records and monitor daily inventory levels.
2. Distributor & Client Management
Act as a communication bridge between the company and distributors (wholesalers, retailers, trade partners).
Handle distributor queries related to pricing, schemes, product availability, and promotions.
Assist in onboarding new distributors and maintaining up-to-date documentation.
3. Reporting & Data Management
Prepare daily, weekly, and monthly sales reports including sales achievement, secondary sales, market coverage, and SKU-wise performance.
Track sales targets, schemes, market incentives, and ensure proper claim processing.
Maintain accurate MIS and create dashboards for management review.
4. Scheme & Promotion Handling
Coordinate with marketing and sales teams to implement promotional schemes, trade offers, and loyalty programs.
Track scheme utilization, distributor claims, and ensure proper documentation and approvals.
5. Cross-Department Collaboration
Work closely with production, warehouse, logistics, finance, and marketing teams to ensure seamless execution of sales operations.
Assist the sales team in planning routes, targets, and monthly market activation calendars.
6. Compliance & Documentation
Ensure proper documentation in line with tobacco industry regulations.
Maintain confidentiality of sensitive trade and pricing information.
Support internal audits by providing timely sales and stock-related data.
Required Skills & Competencies
Strong knowledge of FMCG trade operations; experience in tobacco or similar high volume, regulated FMCG categories preferred.
Excellent communication and coordination skills.
Proficient in MS Excel, MIS reporting, and ERP systems (SAP, Tally, or similar).
Detail-oriented, disciplined, and able to multitask.
Problem-solving attitude and ability to handle pressure.
Understanding of distributor management and secondary sales processes.
Educational & Experience Requirements
Bachelor's degree in Business Administration, Commerce, Marketing, or relevant field.
1-3 years of experience as a Sales Coordinator, preferably in FMCG or tobacco manufacturing.
Experience working with a field sales team, distributors, and retailers is an advantage.
