The ideal candidate will be critical to the sales cycle's smooth operation, focusing on documentation, technical proposal preparation, and ensuring accurate and timely communication between sales staff, clients, and internal departments. This role requires exceptional attention to detail, strong organizational skills, and a commitment to supporting sales goals.
Key Responsibilities
BOQ (Bill of Quantity) Preparation:
Prepare accurate and detailed Bills of Quantity (BOQ), quotations, and commercial proposals based on sales team input and client specifications.
Verify product codes, pricing, and technical details to ensure all documentation is correct before submission.
Sales Documentation & Administration:
Manage the sales documentation lifecycle, including creating, tracking, and filing proposals, contracts, purchase orders, and client correspondence.
Maintain and update the Customer Relationship Management (CRM) system with accurate customer data, activity logs, and sales pipeline status.
Back-Office Support:
Act as a central point of contact for the sales team, liaising with internal departments (e.g., Finance, Production, Logistics) to resolve order, inventory, or delivery issues.
Assist with scheduling client meetings, preparing presentation materials, and organizing sales reports.
Reporting and Analysis:
Generate regular reports on sales activities, pipeline status, and performance metrics as required by Sales Management.
Track and follow up on submitted quotations to monitor conversion rates and identify bottlenecks.
Required Skills and Qualifications
Experience:
1-3 years of experience in an administrative, sales support, or equivalent back-office role.
Technical Proficiency:
Advanced knowledge of
Microsoft Excel
is mandatory for BOQ and data manipulation; proficiency with Microsoft Office Suite (Word, PowerPoint).
Attention to Detail:
Proven ability to manage complex documentation, data entry, and BOQ preparation with high levels of accuracy.
Communication:
Excellent written and verbal communication skills; ability to interact professionally with sales staff and cross-functional teams.
Organizational Skills:
Exceptional time management and organizational abilities; capacity to multitask and prioritize under tight deadlines.
Education:
Bachelor's degree in Business Administration, Commerce, or a related field is preferred.
