The Receptionist at the Apte Road office will be responsible for managing front-desk operations and ensuring professional communication and smooth coordination with visitors, staff, and management. The receptionist will represent the organization's first point of contact and must maintain a welcoming and efficient environment.
Key Responsibilities
1. Front Desk Management
Greet and assist visitors, clients, and staff in a polite and professional manner.
Maintain visitor records, issue visitor passes, and manage entry/exit logs.
Ensure the reception area is clean, organized, and presentable at all times.
2. Administrative Support
Receive, sort, and distribute incoming post, mail, couriers, and other deliveries.
Prepare and send outgoing post, mail or documents as needed.
Assist with basic administrative tasks such as filing, photocopying, scanning, and data entry.
Keeping records of stationaries distribute as per staff requirements, to coordinate with system admin for Printer refils etc
Ordering and organising food for guests of management and heads.
It is reception responsibility to coordinate with Maushi for preparing inhouse foods for guests as per the requirement.
Handling petty cash under supervision of Admin or EA.
4. Visitor & Staff Assistance
Provide information and support to visitors regarding office departments or contacts.
Guide service personnel, vendors, or maintenance staff to respective locations after verification.
Coordinate with housekeeping for cleanliness or with security for access control when required.
5. Event & Facility Coordination Support
Assist the Property Manager during functions or events held at the premises.
Help manage guest lists, visitor flow, communication, and basic arrangements.
6. Professional Conduct
Maintain a courteous, calm, and helpful attitude at all times.
Uphold confidentiality when handling sensitive information.
Follow all workplace protocols, dress code, and communication etiquette.
7. Other Communication & Coordination
Eventually when we have landlines than handle incoming phone calls, redirect calls to appropriate departments, and take messages when required.
Coordinate internal communication between departments and staff.
Assist in scheduling meetings, appointments, and conference room bookings.
