The RFP & Government Tender Executive is responsible for end-to-end management of government tender activities, including identification, evaluation, documentation, coordination, and submission of proposals on various government procurement platforms. The role ensures continuous monitoring of tender opportunities, strict compliance with tender requirements, and timely submission of high-quality bids that align with organizational goals.
Key Responsibilities
1. Tender Sourcing & Monitoring
Continuously track and monitor government procurement portals such as GeM, eProcurement, CPPP (Central Public Procuremnet Portal), State Tender Portals, and PSU portals.
Identify upcoming tenders, published RFPs, corrigendum's, pre-bid meetings, and related notifications.
Maintain a systematic database of ongoing and upcoming tender opportunities.
2. Tender Review & Feasibility Assessment
Analyze tender documents to understand eligibility, scope of work, evaluation criteria, timelines, and compliance requirements.
Prepare tender summaries and feasibility notes for management review.
Coordinate with internal stakeholders for technical and commercial viability assessments.
3. Tender Documentation & Submission
Prepare, compile, and finalize complete tender documentation including technical bids, financial bids, annexures, declarations, and compliance forms.
Ensure accuracy, completeness, and adherence to government regulations and tender guidelines.
Upload bids on relevant portals and ensure successful submission before deadline.
Maintain updated versions of company documents (registrations, certifications, financial statements, etc.).
4. Tracking, Reporting & Compliance
Maintain accurate and updated tender trackers, submission logs, and outcome reports.
Track tender results, negotiations, and contract award status.
Ensure timely renewal of statutory documents and compliance certificates used for tender submissions.
Prepare weekly/monthly MIS reports on tender activities, pipelines, and results.
Skills & Qualifications
Educational Qualifications
Bachelor's degree in Business Administration, Commerce, Public Administration, or related field.
Certification or experience in government e-procurement systems (preferred).
Professional Experience
1-4 years of hands-on experience in government tendering, RFP preparation, and
e-procurement.
Familiarity with GeM, CPPP, eProcurement portals, and state tendering systems.
Technical & Soft Skills
Strong knowledge of tendering processes, government procurement policies, and compliance requirements.
Excellent drafting, documentation, and technical writing skills.
Proficiency in MS Office (Word, Excel, PDF tools).
Strong analytical and problem-solving skills.
Ability to manage tight deadlines and multiple tender submissions simultaneously.
Effective communication and coordination abilities.
