Main purpose of job:

To ensure the smooth day-to-day running of the High Commissioner\'s (HC) residence. This includes (but is not limited to); managing 16 staff, handling a footfall of 11,000 guests at over 300 events a year, and managing the stays of c. 250 high profile guests including VVIPS, Senior Cabinet Ministers and HMG Officials.

Roles and responsibilities:

Day to day management of the Residence staff and management of casual staff during events, including motivating and empowering the team, setting direction, and promoting best practice.

  • Liaison with HC\'s Private Office to manage the Residence diary, ensuring planned events, external visitors, and maintenance schedules fit alongside the HC\'s diary.
  • Plan, organise and supervise Residence functions and events.
  • Liaison with external clients, and internal High Commission teams, to develop packages for events at the Residence.
  • Working with High Commission colleagues to ensure events at the Residence fit with, or promote, HMG policy priorities.
  • Management of the shopping/purchase ledger and inventory list of the cellar, kitchen and pantry.
  • Maintain an inventory of the official quota of alcohol, record consumption and keep auditable records.
  • Management and approval of budgets and accounts for expenses using the office accounting software.
  • Ensure the maintenance of the Residence compound including the upkeep of indoor property (with the help of the Estates Team, instructing them to carry out maintenance as needed), and 70,000 square feet of lawns/gardens (with the help of the gardening team).
  • Plan all meal schedules & menus with the Residence Chefs, ensure high standard of food & service for guests & events.
  • Welcome guests (VIPs) on arrival at the Residence and to be present for official & social events in order to manage logistics and supervise catering (N.B. at times flexibility of working hours will be required at accommodate this).
  • Be the learning and development champion for residence team
  • Carrying out all the above whilst at all times maintaining the utmost discretion, and ensuring that the HC\'s Residence security requirements are adhered to.
  • Other duties and responsibilities as required.
Resources managed (staff and expenditure):
  • Managing 16 Staff members (1x Events Co-Ordinator, 2x Cooks, 4x bearers, 2x cleaners, 4x gardeners, 1x chambermaid, 2x Laundry Person)
  • Maintaining household records and accounts
Working patterns:

If the job is suitable for flexible working patterns, please provide details:

Total working hours per week - 40 hrs

Standard Timings: 0900 - 1700 hrs (however, flexibility in these hours will be required to make it possible for the job holder to supervise evening receptions, out of hours events etc. There can be flexibility in hours in accordance with evening working i.e. staying later and starting later in the morning too.)

5 day week, Saturday - Sundays off (again, in exceptional circumstance i.e. VVIP visits, the job holder may be required to come in on weekends).

This job is not compatible with extended periods of working from home.

Essential qualifications, skills and experience 1

Language requirements:
  • Language: ENGLISH
  • Level of language required: FLUENT
Essential on arrival:
  • 5-6 years of work experience in hospitality or event management;
  • Strong staff management and interpersonal skills
  • Willingness to work with some flexibility to stay for official and social events
  • Sound knowledge of global cuisines to be able to guide and instruct the cooks
  • To have a good understanding of food and wines.
  • Experience of budget planning and accounting
Desirable qualifications, skills and experience 1
  • Skilled at working within a team-oriented, collaborative environment. Able to work effectively to support colleagues, both individually and in teams. Able to effectively prioritise and a proven ability to work under pressure with limited supervision.
  • Keen attention to detail.
  • Proficiency in Microsoft Word, Outlook, and Excel.

For British High Commission candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC Candidates, salary will be all-inclusive of INR 75,359 month plus 12% Provident Fund and 6% Superannuation Fund.
