The Reservation Executive will be responsible for handling all room booking inquiries, ensuring smooth reservation operations, maintaining guest satisfaction, and supporting the sales and front office teams to maximize room occupancy and revenue.
Key Roles & Responsibilities:
1. Reservation Handling
Manage room bookings through phone, email, OTA (Online Travel Agents), and walk-in inquiries.
Respond promptly to guest queries and confirm reservations accurately.
Update daily room availability and ensure all bookings are recorded correctly in the PMS/Channel Manager.
Handle group bookings, corporate reservations, and special requests efficiently.
2. Coordination & Communication
Coordinate with Front Office, Housekeeping, and Sales teams regarding room status and guest arrivals.
Maintain communication with travel agents, corporate clients, and OTA partners.
Ensure pre-arrival arrangements and guest preferences are well-coordinated.
3. Revenue & Reporting
Assist in maximizing room revenue through effective inventory and rate management.
Monitor and update rates, promotions, and availability on online booking channels.
Prepare daily, weekly, and monthly reservation reports for management.
4. Customer Service
Provide courteous and professional service to guests at all times.
Handle booking modifications, cancellations, and refund requests as per hotel policy.
Address guest complaints related to bookings and resolve issues promptly.
5. System & Data Management
Maintain accurate guest and booking records in the PMS (Property Management System).
Ensure proper documentation and data entry for all reservations.
Cross-check bookings to prevent overbooking and ensure accuracy in room allotment.
