You'll be the first point of contact for many guests, responding promptly and professionally to inquiries via phone, email, and online platforms about resort facilities, services, and availability. This includes accurately processing reservation requests for accommodations, spa treatments, wellness activities, and dining, ensuring all details like dates, times, room types, and guest preferences are captured correctly.
Providing Information and Promoting Services:
You'll need to have a thorough understanding of the resort's offerings - from the different types of rooms and suites to the various wellness programs, spa therapies, and recreational activities. You'll effectively communicate these details to potential guests, highlighting the unique benefits of a wellness retreat and actively promoting packages and special offers to maximize bookings.
Managing Reservations Systems:
You'll be proficient in using the resort's reservation software (PMS - Property Management System) to manage bookings, update availability, generate confirmations, process modifications and cancellations accurately, and maintain organized records.
Guest Relationship Management:
Building positive relationships with guests is key. You'll handle guest requests and concerns efficiently and courteously, ensuring a smooth and pleasant booking experience. This might involve coordinating with other departments like housekeeping, spa, and F&B to fulfill guest needs and preferences.
Payment Processing and Billing:
You'll be responsible for processing payments, issuing invoices, and handling billing inquiries accurately and in accordance with the resort's policies.
Maintaining Accurate Records and Reports:
You'll keep detailed and up-to-date records of all reservations, cancellations, and modifications. You might also be required to generate reports on booking trends, occupancy rates, and revenue, contributing to the overall understanding of the business.
Collaborating with Sales and Marketing:
You may work closely with the sales and marketing teams to understand promotional campaigns and ensure accurate information is being provided to potential guests. You might also assist in identifying opportunities to drive more bookings.
Adhering to Policies and Procedures:
You'll follow the resort's established policies and procedures for reservations, cancellations, payments, and guest service to ensure consistency and efficiency.
Staying Updated on Resort Offerings:
The wellness landscape is always evolving. You'll need to stay informed about new treatments, programs, and any changes to the resort's facilities and services to provide accurate and up-to-date information to guests.
Handling Group Bookings (potentially):
Depending on the resort's size and focus, you might also be involved in managing group bookings for retreats or corporate wellness events.
Essentially, you'll be a crucial link between potential guests and the resort, ensuring a seamless and inviting booking process that sets the stage for a positive wellness experience.
