The Reservation Associate is responsible for handling guest reservation inquiries efficiently and accurately while delivering exceptional customer service. The role focuses on maximizing room revenue, maintaining reservation records, and ensuring a seamless booking experience aligned with Espire Hospitality's service standards.
Key Responsibilities
Reservation Handling
Handle hotel room reservations through phone calls, emails, online booking systems, and travel agents
Accurately enter, modify, and cancel reservations in the Property Management System (PMS)
Provide detailed information about room types, rates, packages, and hotel facilities
Guest Service & Communication
Respond promptly and professionally to guest inquiries and requests
Ensure a high level of customer satisfaction by offering personalized booking solutions
Coordinate special requests (early check-in, late check-out, amenities, etc.)
Revenue & Sales Support
Upsell rooms, packages, and additional services to maximize revenue
Apply correct rates, discounts, and promotional offers as per hotel policy
Maintain awareness of occupancy levels, seasonal pricing, and demand trends
Coordination & Administration
Coordinate with Front Office, Sales, and Housekeeping teams regarding room availability
Maintain accurate reservation records and guest profiles
Prepare daily reservation reports and forecasts when required
Required Skills & Competencies Technical & Professional Skills
Knowledge of hotel reservation systems (PMS) and booking platforms
Basic understanding of revenue management and room inventory
Proficiency in MS Office and email communication

Qualifications & Experience & Education
Bachelor's degree or diploma in Hotel Management, Hospitality, or a related field (preferred)
Experience
1-3 years of experience in hotel reservations, front office, or customer service
Experience in a luxury or resort hotel environment is an advantage
Working Conditions
Rotational shifts, including weekends and holidays
High interaction with guests, travel agents, and internal departments
