The Research & Quality Assistant supports the Compliance & Regulatory Affairs team in ensuring that all cosmetic and personal care as well as food supplements products meet quality standards. This role involves systematic research, data organisation, documentation management and coordination across internal teams and external partners if needed. The ideal candidate is detail-oriented, proactive and comfortable working with reading, extracting and reorganising information, product specifications and quality processes.
Key Responsibilities
1. Regulatory & Compliance Research
Conduct research on white papers, journals, relevant databases, guidelines, ingredient restrictions, safety standards and compliance requirements across required global markets.
Monitor updates and maintain internal databases with the latest changes within chemical including cosmetics industry.
Support the preparation of reports, summaries, white papers and guidance notes.
Collect and verify all the quality and process documents
2. Product Documentation & Quality Support
Assist in assembling Product Information Files and dossiers as per the SOPs
Ensure all documents meet regulatory formatting and quality standards.
Support quality audits by preparing checklists, gathering evidence and completing documentation reviews.
Track document versions, maintain naming conventions and ensure accurate filing in document management systems.
3. Data Entry & System Management
Enter product specifications, formulation data and raw material information into internal compliance systems
Maintain accurate internal trackers for project timelines, submissions and quality checks.
Assist in uploading product dossiers to regional, national and international systems including CDSCO & Montaji.
4. Coordination & Communication
Work closely with Responsible Persons, R&D teams and external partners to collect required documentation.
Communicate missing data, incomplete files or quality issues in a structured manner.
Support the team in preparing client reports, summaries and presentations.
Skills & Qualifications
Required:
Bachelor's degree in science (Cosmetics Science, Fragrances, Food, Quality, Chemistry, Biotechnology, Pharmacy, Toxicology or related fields).
Strong attention to detail and ability to follow structured processes.
Excellent English communication (written and verbal).
Proficiency in MS Office / Google Workspace (Word/Docs, Excel/Sheets, PowerPoint/Slides).
Basic understanding of cosmetic chemicals and toxicological data.
Ability to work with data, PDFs, spreadsheets, and large documentation sets.
Preferred:
Experience in cosmetics, personal care, FMCG, pharmaceuticals, or compliance-related work.
Familiarity with national and international clients.
Experience with document control, quality management systems (QMS), or audits.
Confident and ready to represent the organisation within national and international forums
Travel ready, when required
Knowledge of AI & ML models
