Position Overview:
The Regional Secretary will be responsible for managing the overall functioning of the regional office, supporting the Regional Committee, coordinating membership activities, planning events, ensuring statutory compliance, and acting as a key liaison between members, regional bodies, and the Head Office (HO). This role requires excellent coordination, communication, organizational and administrative skills to uphold AIRIA's objectives and enhance association visibility and engagement within the region.
Key Responsibilities:1. Coordination with Regional Committees
Assist and function under the direction of the Chairman/Vice Chairman.
Organize a minimum of four regional committee meetings annually.
Prepare and circulate meeting agendas and minutes within prescribed timelines.
Execute committee decisions in a time-bound manner.
Maintain effective coordination and communication with committee members.
2. Membership Management
Maintain and regularly update the member database.
Conduct membership drives for new member additions and forward cases to HO for approval.
Ensure retention of existing members through regular communication and support.
Collect annual membership fees within the first quarter every year.
Address member concerns and provide necessary support.
3. Events & Seminars
Develop an annual event calendar in consultation with the committee.
Prepare budgets and revenue plans for events as per approved guidelines.
Shortlist and appoint agencies/vendors in consultation with office bearers.
Create awareness and promote participation among members.
Prepare income-expenditure statements for each event, present to the committee, and submit to HO.
Prepare post-event reports with photographs for publication in Rubber India*.
4. Issues & Concerns Handling
Address member issues with local authorities in consultation with office bearers.
Forward issues related to central government to the Head Office.
Liaise with local associations, government departments, and other relevant bodies.
5. Financial Responsibilities
Ensure timely recovery of outstanding payments (membership fees, delegation fees, sponsorship, etc.).
Maintain accounts, coordinate audits, and submit financial reports to HO within deadlines.
6. Compliance & Reporting
Pay local taxes (e.g., property tax).
Ensure timely payment of statutory dues and filing of returns (e.g., GST).
Process monthly remittances to HO (50% membership fees, 100% entrance fees, reimbursements, etc.).
Follow guidelines issued by the Regional Committee, Managing Committee, and Secretary General.
Work under the guidance and directions of the Secretary General and Chairman.
7. Administration & Office Management
Oversee day-to-day administration and maintain proper office records.
Manage vendors for regular supplies and services.
Conduct Regional and Managing Committee elections as per directions of HO/Secretary General.
Build and maintain relationships with local vendors, stakeholders, and government bodies.
8. Coordination with Head Office & Other Regions
Submit monthly reports to the Secretary General.
Provide suggestions for process, operational, and membership improvements.
Coordinate activities and share best practices with other regional offices.
Qualifications & Skills:
Graduate/Postgraduate in Business Administration, Management, Commerce, or related field (preferred).
4-8 years of experience in administration, association management, coordination, or similar roles.
Strong communication and interpersonal skills.
Ability to handle multi-tasking and meet deadlines.
Knowledge of accounts and statutory compliances (GST, TDS etc.).
Proficiency in MS Office (Word, Excel, PowerPoint) and email communication.
Vendor and event management experience preferred.

?50,000 - ?60,000 per month
