Job Description


Role: Receptionist cum Admin Secretary(Female) : \xc2\xb7 Greeting visitors. \xc2\xb7 Managing security and telecommunications systems. \xc2\xb7 Handling queries and complaints via phone, email and general correspondence. \xc2\xb7 Transferring calls as necessary. \xc2\xb7 Taking and ensuring messages are passed to the appropriate staff member in time. \xc2\xb7 Managing meeting room availability. \xc2\xb7 Receiving, sorting, distributing and dispatching daily mail. \xc2\xb7 Handling transcription, printing, photocopying and faxing. \xc2\xb7 Handling travel arrangements. \xc2\xb7 Coordinating internal and external events. \xc2\xb7 Managing office inventory such as stationery, equipment and furniture. \xc2\xb7 Overseeing office services like cleaners and maintenance service providers. \xc2\xb7 Assisting the HR team with recruitment, on-boarding and termination processes. \xc2\xb7 Maintaining safety and hygiene standards of the office area. Administrative Secretary Responsibilities: \xc2\xb7 Reporting to management and performing secretarial duties. \xc2\xb7 Processing, typing, editing, and formatting reports and documents. \xc2\xb7 Filing documents, as well as entering data and maintaining databases. \xc2\xb7 Liaising with internal departments and communicating with the public. \xc2\xb7 Directing internal and external calls, emails, and faxes to designated departments. \xc2\xb7 Monitoring office supplies and ordering replacements. \xc2\xb7 Preparing facilities and arranging refreshments for events, if required. \xc2\xb7 Observing the best business practices and etiquette. Skills \xc2\xb7 Excellent verbal communication \xc2\xb7 Good telephone communication etiquette \xc2\xb7 Organized and resourceful \xc2\xb7 Customer-focused \xc2\xb7 Active listener \xc2\xb7 Adept at prioritizing, scheduling and multitasking \xc2\xb7 Ability to handle office equipment (e.g., the telephone system, printerand the fax machine) \xc2\xb7 Fast and eager learner Requirements: \xc2\xb7 Graduate with advance in MS Office. \xc2\xb7 Excellent written & Verbal communication skills (English, Telugu & Hindi) \xc2\xb7 Experience in receptionist, office administration, secretarial work, or related training. \xc2\xb7 3-4 years of experience as a Receptionist / Administrative Secretary would be advantageous. \xc2\xb7 Advanced proficiency in managing documents, spreadsheets, and databases. \xc2\xb7 Proficiency in appointment scheduling and call forwarding systems. \xc2\xb7 Exceptional interpersonal skills.
