The Receptionist cum Counselor acts as the first point of contact for parents, students, visitors, and stakeholders. This role requires excellent communication skills, a pleasant personality, strong counseling ability, and a customer-centric approach to support the Admission Department, Front Office operations, and Parent Relationship activities.
Key ResponsibilitiesFront Desk & Communication
Greet parents, students, and guests warmly and professionally.
Handle incoming calls, WhatsApp inquiries, and walk-ins with courtesy and clarity.
Maintain the visitor register and ensure proper documentation of each inquiry.
Provide accurate information about school programs, facilities, curriculum, and policies.
Manage appointment schedules for Admission Counselors, Relationship Manager, and Principal/Management.
Admission Counseling
Counsel parents on the academic programs, fee structure, transport, and extracurricular opportunities.
Understand parent needs and guide them through the complete admission process.
Assist with form filling, documentation, and application processing.
Explain school USP, achievements, safety protocols, and learning outcomes confidently.
Follow up regularly with inquiries, leads, and walk-in parents for conversion.
Lead Management & Record Keeping
Maintain inquiry databases (walk-ins, phone calls, online leads, field visit leads).
Update the Admission Register, Follow-Up Tracker, ERP/SIS entries, and daily reporting sheets.
Coordinate with the marketing and ground team to track field-generated inquiries.
Prepare daily, weekly, and monthly admission performance reports.
Coordination & Support
Coordinate with teachers, transport team, accounts, and management for smooth admission processing.
Assist in organizing school events, parent meetings, orientation programs, and admission drives.
Provide support in fee-related queries and connect parents with the Accounts Department.
Ensure timely distribution of brochures, forms, ID cards, circulars, and communication materials.
Office Administration
Maintain front office hygiene, discipline, decor, and welcoming environment.
Manage stationery, admission kit stock, inquiry forms, and display materials.
Oversee the reception notice board and ensure updated information is displayed.
Handle courier, emails, official letters, and basic clerical tasks.
Customer Relationship Management
Build strong relationships with parents through professional communication.
Handle concerns or queries politely and redirect them to the concerned department.
Maintain confidentiality of parent/student information at all times.
Ensure high levels of service satisfaction for every parent interaction.
Skills & Competencies Required
Excellent spoken and written communication skills (English & Hindi).
Polite, confident, and pleasant personality.
Strong counseling, persuasion, and listening skills.
Ability to multitask and manage pressure during admission peak seasons.
Proficiency in MS Office (Word, Excel, PowerPoint), Google Sheets, and basic computer operations.
Good coordination and problem-solving ability.
Positive attitude, discipline, and professional grooming.
Educational Qualification
Graduation in any discipline (Preferred: Psychology, Education, or Marketing).
Diploma/Certification in Counseling, Customer Service, or Front Office Management is an advantage.
Experience Required
1-3 years of experience in counseling, front office, or customer service (School/Ed-Tech experience preferred).
Freshers with strong communication skills may also apply.
Work Schedule
Full-time, 6 days a week (As per school norms).
Flexible to work during admission drives, parent events, and academic functions.

As per school norms and candidate experience.
