Job Description

Role Summary



The Appointment & Patient Coordinator is responsible for managing patient appointments, ensuring seamless patient flow, providing high-quality service, and supporting clinic operations. This role requires excellent communication skills, customer service, and the ability to coordinate between patients, doctors, and internal teams to deliver a smooth clinical experience.

Key Responsibilities



1. Appointment Management



Schedule, reschedule, and confirm patient appointments through phone, WhatsApp, and in-person interactions. Maintain an accurate appointment calendar for doctors and therapy staff. Ensure proper time slot utilization to reduce waiting time and maximize clinic efficiency. Follow up with patients on missed or cancelled appointments and encourage rebooking.

2. Patient Coordination



Greet patients warmly and assist them throughout their visit. Explain procedures, waiting times, billing details, and consultation flow. Guide new patients with registration, forms, and documentation. Handle patient queries professionally and escalate issues when required.

3. Front Desk Operations



Maintain a neat and welcoming reception area. Manage incoming calls, WhatsApp inquiries, and walk-in patients. Ensure patient details are updated correctly in the clinic software/CRM. Coordinate with clinical staff to ensure smooth patient flow.

4. Communication & Follow-Up



Share reminders for follow-up visits, treatments, and review appointments. Coordinate between patients and doctors for treatment plans or clarifications. Send service reminders, promotional messages, and clinic updates.

5. Billing & Records



Generate invoices, collect payments, and provide receipts. Maintain confidentiality of patient information and medical records. Ensure accurate data entry and daily reporting.

6. Support in Clinic Operations



Assist in managing waiting lists and daily patient load. Coordinate with nursing/dental assistants for room readiness and patient transitions. Support doctors during patient flow management and ensure timely consultations.

Skills & Qualifications



Graduate in any discipline (preferably healthcare/hospitality background). 1-3 years of experience in front office, hospital, or clinic coordination. Strong communication skills in English and local language. Patient-friendly attitude, calm handling of stressful situations. Computer proficiency (MS Office, CRM/clinic software, WhatsApp communication). Ability to multitask and maintain professionalism at all times.
