The Receptionist is the first point of contact for visitors, customers, and vendors, ensuring a professional, polite, and efficient front-office experience. The role also supports basic administrative work so that office operations remain smooth throughout the day.
Key Responsibilities
Greet and welcome visitors, customers, and vendors in a polite, professional manner and guide them to the correct person or department.
Answer, screen, and transfer phone calls; take clear messages and share them promptly on WhatsApp/email where required.
Maintain visitor logbook, issue visitor passes, and coordinate with security or admin for entry/exit protocols.
Manage the front desk area: keep reception clean, organized, and presentable at all times.
Handle incoming and outgoing couriers, documents, and parcels; update records and inform concerned team members.
Coordinate meeting room bookings, ensure drinking water/tea arrangements, and basic hospitality for visitors.
Assist with basic administrative tasks, including printing, scanning, photocopying, and filing documents.
Support HR/admin in collecting documents from candidates, staff, and visitors when needed.
Maintain and update contact lists (buyers, vendors, service providers, staff) as directed.
Escalate any issues (angry visitors, maintenance problems, safety concerns) to the admin/management quickly.
Required Skills & Qualifications
Minimum education: 12th pass; graduate preferred.
Prior experience as a receptionist/front office executive or customer-facing role is an advantage.
Good communication skills in Hindi and basic-good English; clear and polite telephone manners.
Neat and presentable appearance with a friendly, positive attitude.
Basic computer knowledge: MS Office, email, WhatsApp Web, simple data entry.
Ability to stay calm under pressure and handle multiple tasks during busy hours.
Punctual, dependable, and comfortable following office systems, visitor protocols, and reporting lines.
