Position Overview



The Receptionist/Administrator serves as the first point of contact for clients, visitors, and stakeholders, ensuring a welcoming and professional office environment. This role also provides administrative support to the sales, marketing, and property management teams, helping maintain efficient day-to-day operations within the real estate office.

Key Responsibilities Front Desk & Customer Service



Greet and assist walk-in clients, visitors, and vendors in a professional manner. Handle incoming phone calls, emails, and inquiries; direct them to the appropriate department. Provide basic information about listed properties, ongoing projects, and company services. Maintain a clean and organized reception area.

Administrative & Office Support



Manage daily office operations including filing, data entry, and documentation. Update and maintain client databases, property listings, and internal records. Prepare documents such as letters, agreements, invoices, and reports. Coordinate with sales and marketing teams for scheduling property visits, meetings, and events. Arrange courier services, handle office supplies, and support general office needs.

Real Estate-Specific Tasks



Assist in preparing sales kits, brochures, and property information packs. Support the sales team with booking forms, customer documents, and project updates. Maintain records of property inventory, site visit schedules, and lead logs. Liaise with developers, clients, and contractors on administrative matters.

Client Coordination



Manage appointment scheduling for sales executives and management. Confirm property viewing appointments with clients and ensure smooth coordination. Handle client follow-ups and provide updates when required. Ensure exceptional customer service to enhance client satisfaction and company reputation.

Qualifications & Requirements



High school diploma or bachelor's degree in Business Administration or related field. 1-3+ years of experience in a receptionist or administrative role (real estate preferred). Strong interpersonal, communication, and customer service skills. Proficiency in MS Office (Word, Excel, Outlook) and basic CRM tools. Professional appearance with a positive and friendly attitude. Ability to multitask, prioritize, and work in a fast-paced environment. Strong attention to detail and organizational skills.
