The Academy Receptionist is the first point of contact for students, parents, visitors, and staff. You will manage communications (in person, phone, email), support administrative tasks, maintain records, and help with the day-to-day flow of the academy. The ideal candidate is friendly, professional, detail-oriented, and able to multitask in a busy environment.
Key Responsibilities / DutiesFront Desk & Communication
Greet and welcome visitors, students, parents, and guests; determine their needs and direct them appropriately
Answer phone calls (multi-line if applicable), respond to or forward inquiries, take messages
Manage incoming and outgoing emails and correspondence
Issue visitor passes or badges (if applicable) and maintain visitor sign-in logs
Announce or direct students and guests to appropriate personnel or classrooms
Administrative & Office Support
Maintain and update student, staff, and visitor records in database / system
Handle admissions inquiries: provide information, schedule appointments, send brochures or enrollment forms
Assist with registration, enrolment, and fee collection (or coordinate with finance)
Prepare, photocopy, scan, sort, and distribute administrative materials
Receive, sort, and dispatch mail, parcels, deliveries
Maintain inventory of front-office supplies, school stationery, brochures, forms
Create and maintain filing systems (digital and hardcopy)
Coordinate with teaching staff and management for scheduled events, meetings, parent-teacher conferences
Support internal communications: notices, announcements, internal memos
Provide first-level assistance to students or staff (e.g. signing in/out, attendance, basic questions)
Assist in maintaining a clean, organized, and professional reception area
Other Duties
Monitor student attendance, check absences, notify relevant staff or parents
Support during special events, functions, and academy programs
Liaise with external vendors, service providers, and contractors visiting the academy
May assist in basic finance tasks like issuing receipts, handling petty cash (if applicable)
Escalate issues to management when necessary and follow up on pending matters
