Greet visitors and clients, and ensure they are directed correctly.
Answer, screen, and forward incoming calls in a timely, polite, and professional manner.
Maintain the reception area: clean, organized, and presentable.
Manage incoming and outgoing mail, deliveries, couriers.
Handle guest sign?in/sign?out procedures and issue visitor badges if needed.
Administrative Support
Maintain and update filing systems (paper/electronic).
Prepare correspondence, reports, documents as needed.
Manage office supplies: monitor stock, place orders, maintain inventory.
Maintain shared calendars, schedule meetings, arrange meeting rooms, organize refreshments/catering when needed.
Assist with travel and accommodation bookings for staff as required.
Office Operations
Liaise with building management for maintenance issues.
Ensure common areas (kitchen, waiting area, restrooms) are tidy and well stocked.
Ensure office equipment functions properly (printers, scanners, etc.).
Support other departments (HR, Finance, etc.) with basic tasks when needed (for example, help with onboarding, filing, data entry).
Customer & Staff Interface
Provide excellent customer service to visitors and callers.
Take messages and ensure follow?up.
Support staff requests--logs, supplies, IT or facilities coordination.
Maintain confidentiality of all sensitive matters.
