This role is for a highly organized and motivated individual who can seamlessly manage multiple critical functions within a business. The successful candidate will be the face of the company, the engine of its operations, and the architect of its team.
Job Responsibilities:
1. Front Desk & Administration
Welcome and Greet:
Serve as the first point of contact for all visitors, clients, and vendors, providing a professional and friendly welcome.
Visitor Entry & Purpose:
All visitors, without exception, must fill in their information completely in the visitor register upon arrival. This is required for security and record-keeping purposes. You need to verify it accurate records of all visitors, including their details and purpose of visit.
Note: No one may meet with the director without prior permission.
Communication Hub:
Manage all incoming and outgoing communication, including answering and directing phone calls, responding to general email inquiries, and handling mail and deliveries.
3. Recruitment
Eligibility Check:
Review the candidate's information against the provided criteria sheet to ensure they meet all the minimum requirements for the position.
Interview & Assessment:
Conduct a thorough interview to determine if the candidate is suitable for the role and the company culture.
Candidate Advancement:
If the candidate is a good fit, either send them directly to the department manager or schedule a meeting with the director for the final approval.
2. Uniform Record Management
Maintain a Detailed Log:
Keep a record of every uniform issued to an employee. This log should include the employee's name, site name, date of issue, specific uniform items (e.g., shirt, pants, belt), and the size of each item.
Obtain Written Approval: Before issuing any uniform, you must receive explicit permission from a department manager or HR. Confirm that a new hire has been officially approved to receive a uniform.
Track Inventory:
Use the record to track available stock. This helps you know when to order new uniforms so there are always enough for new employees.
