Job Overview:


The Receptionist and Administrator will be the first point of contact for our company. This role is responsible for managing front desk operations, providing administrative support to various departments, and ensuring a welcoming environment for our clients, visitors, and staff. Candidate should have good personality and good communication skills.

Key Responsibilities:



Front Desk Management:

Greet and welcome visitors in a professional and friendly manner. Answer, screen, and forward incoming phone calls. Maintain a tidy and presentable reception area.

Administrative Support:

Handle general office duties such as filing, photocopying, scanning, and mailing. Manage incoming and outgoing mail and packages. Assist in scheduling and coordinating meetings and appointments. Maintain office supplies inventory and place orders when necessary. Prepare and modify documents including correspondence, reports, drafts, memos, and emails.

Customer Service:

Address customer inquiries and provide accurate information. Assist with visitor sign-in and security procedures. Provide support to the HR department, including onboarding new employees.

Data Entry and Record Keeping:

Maintain and update contact lists and internal databases. Ensure data accuracy and confidentiality.

Event Coordination:

Assist in organizing company events, meetings, and conferences. Coordinate catering and logistics for meetings and events.

Qualifications:



High school diploma or equivalent; additional qualifications in Office Administration are a plus. Proven work experience as a Receptionist, Front Office Representative, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Professional attitude and appearance. Strong written and verbal communication skills. Ability to be resourceful and proactive when issues arise. Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks. Customer service attitude.
