Key Responsibilities
Greet and welcome visitors in a courteous and professional manner
Answer, screen, and direct incoming phone calls and emails
Maintain the reception area to ensure it is clean, organized, and presentable
Schedule appointments and manage meeting room bookings
Receive, sort, and distribute mail and deliveries
Maintain visitor logs and issue visitor passes when required
Provide basic information about the organization to visitors and callers
Assist with administrative tasks such as filing, data entry, and document preparation
Coordinate with internal departments to support office operations
Handle inquiries and resolve issues or escalate them appropriately
Required Skills & Qualifications
Graduation or diploma or equivalent (additional certification is a plus)
Proven experience as a receptionist, front desk representative, or similar role preferred
Excellent verbal and written communication skills
Professional appearance and customer-service-oriented attitude
Proficiency in MS Office (Word, Excel, Outlook)
Strong organizational and multitasking abilities
Ability to remain calm and professional under pressure
Preferred Qualifications
Experience using office phone systems and scheduling software
Familiarity with basic office administration procedures
Work Environment
Office-based, front-desk role
May require prolonged periods of sitting and occasional standing
