The Receptionist is the first point of contact for clients, visitors, and callers. The role involves managing front-desk operations, handling inquiries, scheduling appointments, and providing administrative support to the real estate team.
Key Responsibilities
Greet and assist visitors, clients, and agents in a professional manner.
Manage incoming calls, emails, and messages; route to appropriate departments.
Maintain a tidy and organized reception area.
Schedule and confirm appointments for agents and clients.
Manage property visit bookings and coordinate client meetings.
Handle basic inquiries about properties, listings, and company services.
Assist with preparing documents, forms, and property files.
Maintain office supplies and handle basic administrative tasks.
Record visitor details and manage access for meetings.
Support real estate sales team with clerical tasks (printing, scanning, filing, data entry).
Update customer databases and property listings (if required).
Ensure excellent customer service at all times.
Required Skills & Qualifications
Proven experience as a receptionist, front desk executive, or similar role (real estate experience preferred).
Excellent communication skills (verbal & written).
Strong customer service and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook) and basic office equipment.
Ability to multitask and work in a fast-paced environment.
Professional appearance and positive attitude.
Strong organizational and time-management skills.
Education
High school diploma or equivalent (required).
Diploma in business administration or relevant field (preferred).
Experience
1-2 years in front office or customer service roles, preferably in real estate or hospitality.
