Job Description

The Receptionist will be responsible for managing the front desk, handling client inquiries, coordinating appointments, and supporting the administrative team. This role requires excellent communication skills, a positive attitude, and the ability to handle sensitive client information with confidentiality and care.

Key Responsibilities:



Greet and welcome clients and visitors in a professional and friendly manner. Manage incoming phone calls, emails, and walk-in inquiries, directing them to the appropriate departments. Schedule and confirm client appointments and follow up on rescheduling or cancellations. Maintain a clean and organized reception area. Assist in preparing and organizing client documents and application files. Provide general administrative support, including photocopying, scanning, filing, and data entry. Maintain records of client interactions and update client databases as required. Ensure that all client queries are addressed promptly and efficiently. Coordinate with consultants and case officers to facilitate smooth operations. Monitor and order office supplies as needed.

Qualifications & Requirements:



High school diploma or equivalent; associate or bachelor's degree preferred. Proven experience as a receptionist, front desk officer, or administrative assistant (experience in immigration/visa consulting is a plus). Excellent verbal and written communication skills in English; knowledge of additional languages is a plus. Strong organizational and multitasking abilities. Proficiency in Microsoft Office (Word, Excel, Outlook) and office management systems. Ability to maintain confidentiality and handle sensitive information. Customer-service orientation and a pleasant demeanor.
