The Receptionist at HapinusCare serves as the first point of contact for clients and visitors. The role involves managing front desk operations, client coordination, appointment scheduling, and ensuring a welcoming and professional environment aligned with the brand's mental wellness standards.
Key Responsibilities:Front Desk & Client Handling
Greet clients and visitors with a warm, professional approach.
Manage client check-ins and guide them to respective consultation rooms.
Maintain a calm and supportive environment for clients seeking therapy.
Appointment & Call Management
Handle inbound calls, WhatsApp inquiries, and online booking requests.
Schedule, confirm, and manage therapy sessions and follow-up appointments.
Update daily appointment logs and ensure smooth client flow.
Administrative & Coordination Tasks
Maintain clinic records, session logs, and client registration forms.
Coordinate with psychologists, customer care, and billing team for seamless service.
Manage front office supplies, cleanliness, and clinic presentation.
Client Support & Service Quality
Provide session fee details, guide clients on payment modes, and generate billing slips.
Address basic client queries and escalate concerns to the appropriate department.
Support clients in understanding therapy process and ensure confidentiality at all times.
Skills & Requirements
Qualification:
Minimum Plus Two / Graduate preferred (Hospitality / Administration / Psychology background is an advantage)
Experience:
0-2 years in front office / receptionist role (healthcare or wellness setup preferred)
Essential Skills:
Polite communication & empathetic client interaction
Basic computer knowledge (MS Excel, WhatsApp Business, ERP entry)
Fluent in English & Malayalam (Hindi added benefit)
Professional grooming & presentation

Ability to maintain confidentiality and emotional composure in a mental health setup
