An Ideal Candidate:
The ideal candidate must be a female professional with 1-3 years of experience in a receptionist or front-office role. Candidates with a background in hospitality or airlines will be given preference. She should possess excellent verbal and written communication skills in English, along with strong interpersonal skills, a positive attitude, and a professional appearance with high grooming standards. Proficiency in MS Office - Word, Excel, Outlook also required.
Key Competencies:
Front Desk Administration - Greet and welcome visitors with a warm, courteous attitude. Maintain a clean, organized, and professional front desk area. Manage visitor logbooks, ID issuance, and ensure security protocols are followed. Handle incoming and outgoing mail/couriers
Stakeholder Management - Act as the first point of contact for internal and external stakeholders. Communicate effectively with senior leadership, clients, and vendors. Maintain a professional demeanor and provide prompt assistance to all visitors and staff
Administrative Support - Provide general administrative and clerical support to various departments. Schedule and coordinate meetings, conference rooms, and appointments. Assist in organizing office events, logistics, and travel arrangements as required. Maintain inventory of office supplies and raise requisitions when needed
Vendor Management - Coordinate with housekeeping, pantry, and office maintenance vendors. Monitor service quality and ensure timely issue resolution. Maintain vendor records and assist in vendor onboarding documentation
Call Handling - Answer and route incoming phone calls professionally.Take accurate messages and ensure timely follow-up.Manage the office phone directory and update extensions regularly.
