The Receptionist will be the first point of contact for clients and visitors at the stock broking office. This role requires excellent communication, customer service skills, and the ability to manage front-office operations efficiently. The ideal candidate should be presentable, organized, and capable of handling queries related to basic broking processes while coordinating with internal departments.
Key Responsibilities
Front Desk & Client Handling
Greet and assist walk-in clients and visitors in a polite and professional manner.
Answer incoming calls, address queries, and forward calls to the appropriate department.
Maintain a neat and welcoming reception area.
Client Support & Coordination
Provide clients with basic information regarding account opening, KYC procedures, and trading support.
Coordinate with the sales, KYC, operations, and support teams to ensure smooth client service.
Assist in scheduling client meetings and appointments for Relationship Managers or Senior Management.
Documentation & Administrative Tasks
Handle documentation related to account opening forms (AOF), KYC updates, and document collection.
Maintain client logs, visitor records, and courier registers.
Receive, record, and distribute courier packages, letters, and important documents.
Assist in preparing reports or data entry for compliance or operational requirements.
Compliance & Record Keeping
Ensure all client interactions follow company policies and regulatory guidelines (SEBI, Exchanges, Depositories).
Maintain confidentiality and accuracy of client documents and records.
Support the compliance team in storing, tracking, and updating required documents.
Office Administration
Manage inventory of office supplies (stationery, forms, brochures).
Coordinate with vendors for housekeeping, maintenance, or office services.
Assist HR or Admin teams in day-to-day tasks when required.
Skills & Qualifications Required
Education & Experience
Graduate in any discipline (preferred: Commerce or Finance background).
1-3 years of experience as a receptionist or front-office executive (experience in broking/financial services is a plus).
Technical Skills
Basic understanding of stock broking operations, KYC, and account opening processes.
Proficient in MS Office (Word, Excel, Outlook).
Ability to operate phone systems, email, and front-office management tools.
