Key duties and responsibilities

Visitor management:

Welcome guests, confirm appointments, and direct them to the correct person or department.

Communication:

Answer and redirect phone calls, take messages, and handle incoming and outgoing mail and deliveries.

Administrative support:

Schedule meetings, maintain visitor logs, manage calendars, and assist with filing, data entry, and document preparation.

Office organization:

Keep the reception area clean and organized, manage office supplies, and ensure standard office equipment is functioning.

Other tasks:

Depending on the organization, this may also include assisting with travel arrangements, coordinating conference room bookings, and providing general support to other departments.
Essential skills and qualifications

Communication:

Excellent verbal and written communication skills are essential for interacting with clients, visitors, and staff.

Customer service:

A courteous and professional demeanor is crucial for creating a welcoming environment.

Technical proficiency:

Must be comfortable using computers, multi-line phone systems, and standard office software and equipment like printers and copiers.

Organizational skills:

Strong ability to multitask, prioritize tasks, and maintain accurate records is required.

Problem-solving:

Ability to handle stressful situations calmly and effectively.
