Greet and welcome all visitors, clients, and employees in a professional and friendly manner.
Manage the visitor logbook, issue visitor passes, and ensure adherence to security protocols.
Guide guests to the appropriate meeting rooms or staff members and offer refreshments as required.
Handle guest queries and provide accurate information about the organization.
2. Call Management:
Answer, screen, and direct incoming phone calls promptly and courteously.
Take and relay messages accurately to concerned employees.
Manage front desk email correspondence and respond to routine inquiries.
3. Travel and Booking Assistance:
Support travel arrangements such as flight, hotel, and cab bookings for employees as needed.
Coordinate with the admin team for urgent bookings and approvals.
4. Event and Food Coordination:
Assist in ordering food, cakes, and other items for office events and celebrations.
Liaise with vendors to ensure timely delivery and setup for events.
5. Office Support and Maintenance:
Maintain cleanliness and organization of the reception area.
Coordinate with housekeeping and maintenance staff for smooth daily operations.
6. Inventory and Supplies:
Track and manage stock levels of front desk supplies (stationery, visitor passes, etc.).
Raise requests for replenishment and ensure timely delivery.
7. Record Keeping:
Maintain accurate records of front desk activities, visitor logs, and courier dispatches.
Assist in updating SOPs related to reception duties.
8. Flexibility and Responsiveness:
Be available to support urgent administrative tasks beyond regular office hours when needed.
Address employee queries related to reception and administrative support promptly.
