Receptionist
to join our dynamic team. As the first point of contact for clients and visitors, you will play a vital role in maintaining the smooth operation of the office and ensuring a welcoming atmosphere.
Key Responsibilities:
Front Desk Management:
Greet clients, visitors, and staff, ensuring a positive and professional experience.
Telephone Handling:
Answer and direct incoming calls promptly, and take accurate messages when necessary.
Appointment Scheduling:
Manage the firm's calendar, scheduling client meetings, appointments, and follow-ups.
Administrative Support:
Assist with office tasks such as filing, photocopying, document preparation, and data entry.
Client Interaction:
Provide information to clients regarding appointments, meetings, and general inquiries about the firm's services.
Correspondence:
Manage incoming and outgoing mail, emails, and deliveries.
Office Supplies:
Monitor and order office supplies to ensure the smooth functioning of the office.
Visitor Management:
Ensure visitors are guided to the appropriate staff members or meeting rooms.
Skills & Qualifications:
Excellent communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook) and general computer skills.
Professional appearance and demeanor.
Ability to multitask and prioritize tasks efficiently.
Previous experience in a receptionist or administrative role (preferably in an architecture or design firm) is a plus.
