Call Handling:
Manage incoming calls, transfer to the appropriate department/person, and take accurate messages when required.
Scheduling & Coordination:
Maintain calendars, schedule meetings, and coordinate appointments for staff and management.
Administrative Support:
Provide support with filing, photocopying, documentation, and general office tasks.
Mail & Deliveries:
Manage incoming and outgoing correspondence, including courier and postal services.
Office Supplies:
Monitor inventory levels and ensure timely procurement of office supplies.
Reception Area Management:
Maintain a clean, organized, and welcoming front desk and lobby area.
Client/Visitor Assistance:
Address general inquiries and provide information regarding the company's services.
Data Management:
Assist in data entry and maintain accurate office records.
Event & Meeting Support:
Support the organization of meetings, office events, and other activities.
Requirements
Education:
Minimum High School Diploma (Associate's degree preferred).
Experience:
2-3 years of experience in a receptionist, front office, or customer service role.
Skills & Competencies:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, Outlook).
Professional, approachable, and customer-focused demeanor.
Ability to maintain confidentiality and handle sensitive information.
Strong phone etiquette and problem-solving skills.
