The Receptionist is responsible for managing the front desk, greeting patients, coordinating appointments, guiding visitors, and ensuring smooth communication between patients and departments. They serve as the first point of contact, maintaining professionalism, empathy, and service quality at all times.
Greet patients and visitors warmly and professionally.
Register patients and update details in the hospital software.
Guide patients to the required departments (OPD, Pharmacy, Billing, Lab, IPD, etc.).
Handle appointment scheduling, rescheduling, and cancellations.
Maintain a clean, organized, and professional front desk area.
Communication & Coordination
Attend incoming calls and route them to the correct departments.
Provide information about doctors' availability, services, timings, and hospital processes.
Coordinate between departments for smooth patient flow.
Manage patient queries, feedback, and basic complaint redressal, escalating complex issues to the Administrator.
Documentation & Records
Maintain daily patient logs and front office registers.
Ensure accurate entry of patient details in EMR/HMS.
Manage forms, files, and documentation related to patient admissions and discharges.
Billing & Payment Support
Guide patients to billing/insurance desks.
Assist in collecting payments (if part of role).
Maintain receipts and hand over collections as per protocol.
Hospital Protocol & Professionalism
Maintain confidentiality of patient information.
Follow hospital SOPs, emergency protocols, and communication guidelines.
Adhere to grooming standards and professional behavior.
3. Skills & Competencies
Excellent communication and interpersonal skills.
Good command over English, Hindi/Kannada (as applicable).
Basic computer knowledge (MS Office, Hospital Management Software).
Patient-friendly, empathetic, and calm under pressure.
Multitasking and time management skills.
4. Qualifications & Experience
Minimum: PUC / Diploma / Graduate.
Experience: 1-3 years in hospital front desk preferred (Freshers can be considered).
Customer service experience is an added advantage.
5. Work Schedule
Rotational shifts (Morning / Evening).
Weekend/holiday duties as per hospital policy.
