The Receptionist serves as the first point of contact for visitors and callers. This role is responsible for managing front desk operations, handling incoming communications, and supporting basic administrative tasks to ensure smooth office functioning.
Key Responsibilities:Front Desk Management
Greet and welcome visitors in a professional and courteous manner.
Maintain a clean and organized reception area.
Ensure visitors sign in/out and are guided appropriately.
Telephone & Communication Handling
Answer and direct incoming phone calls efficiently.
Take accurate messages and forward them to the appropriate person.
Handle general inquiries from clients, vendors, and staff.
Administrative Support
Manage courier services, incoming/outgoing mail, and deliveries.
Schedule and manage appointments and meeting room bookings.
Assist in basic administrative and clerical tasks (data entry, printing, filing, etc.).
Maintain and update contact lists and front office records.
Coordination & Support
Coordinate with internal departments (HR/Admin/IT) for facility-related issues.
Assist HR/Admin in onboarding guests, new employees, and arranging office supplies.
Ensure timely restocking of stationery and reception essentials.
Required Qualifications:
High school diploma or bachelor's degree preferred.
Proven experience as a receptionist, front desk representative, or similar role.
Proficiency in MS Office (Word, Excel, Outlook).
Good communication skills in English and Hindi.
