Key Responsibilities

Visitor Management

: Greet visitors, sign them in, answer their questions, and direct them to the appropriate person or department.

Communication

: Answer, screen, and route incoming phone calls, respond to emails, and communicate with staff and external contacts.

Administrative Support

: Schedule appointments and manage calendars, handle incoming and outgoing mail and deliveries, and maintain filing systems.

Office Environment

: Keep the reception area clean, organized, and welcoming, ensuring a positive first impression.

Office Supplies

: Monitor and order office supplies and ensure equipment is serviced or repaired as needed.

Security

: Maintain office security, for example, by ensuring visitors sign in and are escorted properly.
Required Skills & Qualifications

Communication Skills

: Excellent verbal and written communication skills are essential for interacting with visitors and handling correspondence.

Customer Service

: A friendly, professional demeanor is crucial for providing excellent customer service.

Technical Proficiency

: Competency in using computers, office software (like Microsoft Word and Outlook), and standard office equipment (phone systems, copiers) is necessary.

Organization & Multitasking

: The ability to manage multiple tasks simultaneously, organize schedules, and maintain a tidy workspace is vital.
