Key Responsibilities:
- Greet and assist clients, visitors, and staff in a friendly and professional manner.
- Answer and direct phone calls, take messages, and provide information to callers.
- Manage appointment scheduling and maintain the office calendar.
- Handle billing procedures, including processing payments, invoicing, and maintaining accurate financial records.
- Utilize office software (e.g., MS Office Suite, billing software) to perform data entry and record keeping.
- Assist with customer inquiries related to services, products, and billing issues.
- Maintain a clean and organized reception area.
- Coordinate and facilitate communication between departments and clients.
- Prepare and manage correspondence, reports, and documents as needed.
- Support administrative staff with various tasks, including filing, photocopying, and data entry.
Qualifications:
- High school diploma or equivalent; additional qualifications in administration or customer service are a plus.
- Proven experience as a receptionist or in a similar administrative role.
- Proficient in using office software (e.g., MS Word, Excel, Outlook) and billing software.
- Strong understanding of basic accounting principles and billing processes.
- Excellent written and verbal communication skills.
- Outstanding customer service skills and a positive attitude.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
