The Receptionist is the first point of contact for visitors and callers, responsible for creating a professional and welcoming experience. This role handles front-desk operations, manages communications, and provides administrative support to ensure smooth daily office functioning.
Key Responsibilities
Greet and assist visitors in a courteous and professional manner
Answer, screen, and direct incoming phone calls and emails
Manage the front desk, reception area, and meeting rooms
Schedule appointments and maintain calendars
Receive, sort, and distribute mail and deliveries
Maintain visitor logs and issue visitor passes as required
Perform basic administrative tasks such as filing, data entry, etc.
Coordinate with internal departments for visitor and meeting needs
Ensure office supplies at the reception area are stocked and organized
Follow company policies, security procedures, and confidentiality guidelines
Required Skills & Qualifications
High school diploma or equivalent (associate degree preferred)
Proven experience as a receptionist, front desk executive, or similar role
Excellent verbal and written communication skills
Professional appearance and positive attitude
Strong organizational and multitasking abilities
Proficiency in MS Office (Word, Excel, Outlook)
Ability to handle sensitive information with discretion
Preferred Qualifications
Experience with multi-line phone systems
Familiarity with office management software
Customer service or hospitality background
