The Receptionist cum HR Admin will serve as the primary point of contact for visitors and employees, ensuring smooth front-office operations while supporting HR and administrative functions. This role requires strong communication skills, professionalism, and the ability to multitask in a fast-paced environment.
2. Key Responsibilities:
A. Front Desk & Reception Management
Handle incoming calls, emails, and visitor inquiries with professionalism.
Maintain visitor logs, issue visitor passes, and ensure adherence to security protocols.
Manage the cleanliness and organization of the reception area.
Coordinate couriers, parcel management, and incoming/outgoing correspondence.
Schedule appointments, meetings, and conference room bookings.
B. HR Support & Coordination
Assist in onboarding processes (documentation, ID cards, induction scheduling).
Maintain employee records, files, and HR databases.
Support attendance tracking and follow-ups for biometric/Lystloc updates.
Assist in recruitment coordination--job posting, scheduling interviews, candidate follow-ups.
Draft basic HR letters like offer letters, appointment letters, and warning notices (as guided by HR Manager).
Help coordinate employee engagement activities and events.
C. Administrative Responsibilities
Monitor office supplies inventory and coordinate procurement as needed.
Support facility management--cleaning, security, pantry, and maintenance coordination.
Assist accounts/admin in managing travel bookings, accommodation, and logistics.
Ensure proper documentation, filing, and record management for admin functions.
3. Required Skills & Competencies
Excellent communication skills (Hindi & English).
Strong interpersonal skills and a pleasant personality.
Proficient in MS Office (Word, Excel, Outlook).
Ability to multitask and manage time effectively.
Strong sense of responsibility, confidentiality, and professionalism.
Basic understanding of HR processes preferred.
4. Qualifications & Experience
Education:
Graduate in any discipline (Preferred: BBA, B.Com, BA)
Experience:
1-3 years in Reception, Admin, or HR support roles.
Experience in a manufacturing company will be an added advantage.
