Duties
Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression
Manage multi-line phone systems efficiently, directing calls accurately and courteously
Handle all front desk responsibilities including answering inquiries, scheduling appointments, and providing information
Maintain organized filing systems, data entry records, and manage correspondence with precision
Use computer skills to update calendars, prepare documents, proofread materials, and support office management tasks
Support bookkeeping activities using QuickBooks or similar software to assist with invoicing and financial record-keeping
Assist with administrative tasks such as photocopying, faxing, mailing, and maintaining office supplies
Qualifications
Proven experience in office management or administrative support roles with clerical experience preferred
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Exceptional phone etiquette and customer service skills to handle inquiries professionally
Bilingual abilities are highly desirable to serve diverse client needs effectively
Experience with front desk operations in medical or dental settings is a plus but not required
Familiarity with data entry, filing systems, proofreading, and basic bookkeeping using QuickBooks or similar tools
Personal assistant experience or calendar management skills are advantageous for supporting executive schedules
