The Receptionist will be the first point of contact for guests visiting the hotel and restaurant. This role requires excellent communication, hospitality, and organizational skills to ensure a warm welcome, efficient check-in/check-out process, and seamless coordination between lodging and dining services. The candidate will play a key role in enhancing guest satisfaction and maintaining the professional image of the establishment.
Key Responsibilities: Front Desk Operations
Greet and welcome guests warmly upon arrival and assist with check-in and check-out procedures.
Maintain an accurate record of room bookings, reservations, and cancellations.
Handle guest inquiries regarding room availability, rates, amenities, and services offered.
Provide information about local attractions, transportation, and restaurant menus.
Ensure the front desk area is tidy, presentable, and well-stocked with necessary materials.
Customer Service
Attend to guests' needs promptly and professionally, ensuring a pleasant and comfortable stay.
Handle complaints or requests with patience and efficiency, escalating issues to management when necessary.
Coordinate with housekeeping and kitchen staff to fulfill special guest requirements (e.g., room service, cleaning requests, food orders).
Build positive relationships with guests to encourage repeat visits and referrals.
Communication & Coordination
Maintain effective communication between the reception, housekeeping, kitchen, and management teams.
Update daily reports on guest check-ins, check-outs, occupancy status, and payments.
Inform restaurant staff of guest meal plans, timings, and any dietary preferences.
Cash Handling & Record Management
Manage billing, invoicing, and cash/online payment transactions accurately.
Maintain a record of daily transactions and submit end-of-day reports.
Ensure proper documentation of guests as per hotel policy and legal requirements (e.g., ID verification).
General Administration
Answer and route phone calls or emails in a courteous and timely manner.
Assist with restaurant table bookings and guest feedback collection.
Support management in maintaining guest databases and loyalty programs.
Skills & Qualifications:
Graduate or Diploma in Hospitality Management or a related field preferred.
Proven experience as a hotel receptionist, front office executive, or customer service representative.
Excellent communication and interpersonal skills.
Basic computer literacy (MS Office, hotel management software).
Pleasant personality, grooming, and a customer-oriented attitude.
Ability to multitask, stay organized, and work flexible shifts including weekends or holidays.
