The Reception Head will be responsible for overseeing the smooth functioning of the hospital front desk, ensuring high-quality patient service, effective communication, and efficient management of reception staff. This role is pivotal in creating a positive first impression of the hospital and ensuring seamless coordination between patients, visitors, doctors, and administrative teams.
Key Responsibilities
Front Office & Patient Handling
Supervise day-to-day operations of the reception area and front desk staff.
Ensure courteous and professional handling of patients, visitors, and relatives.
Manage patient inquiries, registration, admission, and discharge procedures.
Maintain patient confidentiality and ensure compliance with hospital policies.
Staff Management & Training
Lead, train, and motivate reception/front office staff for excellent customer service.
Prepare duty rosters, manage attendance, and monitor staff performance.
Conduct regular training for front desk etiquette, communication, and complaint handling.
Operational Responsibilities
Coordinate with doctors, nurses, and other departments for patient appointments and schedules.
Monitor the efficiency of call handling, appointment booking, and information sharing.
Handle escalated patient/visitor complaints promptly and effectively.
Ensure proper maintenance of front office systems, telecommunication, and waiting areas.
Administrative & Reporting
Maintain accurate patient records, visitor logs, and MIS reports.
Prepare daily/weekly/monthly front desk operational reports for management.
Ensure compliance with hospital policies, NABH standards, and statutory requirements.
Work closely with billing, accounts, and medical records departments for smooth operations.

Proficiency in hospital software, MS Office, and front desk operations.

Qualifications & Experience
Graduate in
Hospital Administration/Hospitality Management / Management / Any Discipline
Minimum
5-8 years of experience
in hospital front office operations, with at least
2-3 years in a supervisory/lead role
.
Experience in handling NABH processes will be an added advantage.
