Real Estate Office Manager

Job Description

We are seeking a detail-oriented and organized Office Manager to oversee finance and accounts-related tasks for our real estate firm. The ideal candidate will play a critical role in managing financial transactions, maintaining accurate records, and ensuring compliance with regulatory requirements. With a strong background in accounting principles and office management, the candidate will contribute to the smooth operation of our financial processes, supporting the overall success of the organization.

Responsibilities:



1. Financial Management:



Manage accounts payable and receivable processes, including invoice processing, payment scheduling, and vendor management. Conduct reconciliations of bank statements, credit card transactions, and other financial records to ensure accuracy and completeness. Prepare financial reports, budgets, and forecasts to support decision-making and financial planning initiatives. Monitor cash flow and liquidity, identifying potential risks or opportunities for optimization.

2. Bookkeeping and Recordkeeping:



Maintain general ledger accounts and ensure timely and accurate recording of financial transactions. Perform regular audits of financial data and documentation to ensure compliance with accounting standards and internal policies. Organize and maintain financial records, files, and documentation in accordance with recordkeeping requirements.

3. Tax Compliance and Reporting:



Prepare and file various tax returns, including income tax, sales tax, and property tax filings, in compliance with applicable regulations. Assist in the preparation of financial statements and supporting schedules for external audits and tax examinations. Stay informed about changes in tax laws and regulations, ensuring timely updates to tax reporting processes and procedures.

4. Office Administration:



Oversee day-to-day office operations, including managing office supplies, equipment, and facilities. Coordinate administrative tasks such as scheduling meetings, handling correspondence, and managing office communications. Provide administrative support to senior management, including calendar management, travel arrangements, and expense reporting.

5. Team Collaboration:



Collaborate with other departments, such as property management, leasing, and development, to support cross-functional initiatives and projects. Communicate effectively with internal stakeholders and external partners to address inquiries, resolve issues, and facilitate cooperation.

Qualifications:



Bachelor's degree in Accounting, Finance, Business Administration, or related field. Minimum of 3 years of experience in accounting, finance, or office management roles, preferably in the real estate industry. Excellent organizational skills, with the ability to prioritize tasks, manage deadlines, and multitask effectively. Attention to detail and accuracy in financial recordkeeping and data analysis. Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and vendors. Proven ability to work independently with minimal supervision and as part of a collaborative team.
